About Lifesong Health

Lifesong Health is a Virginia-based outpatient psychiatric practice serving adolescents and adults statewide through secure telehealth, with limited in-person availability in Forest, Virginia. Care focuses on evidence-based psychiatric medication management, supportive counseling, and practical, non-pharmacologic strategies to support emotional stability and overall functioning.

All appointment requests are reviewed and subject to practice approval to ensure appropriate fit and availability.


Insurance & Payment Options

Accepted Payment Types

  • Self-Pay: Available for all patients

  • Sentara Health Plan (Commercial): In-network

  • Commercial insurances via contracts with Alma / Headway / Grow Therapy: Limited availability; waitlists may apply- Please ask if unsure!

  • Medicare / Medicaid: Not routinely accepted

Insurance participation and availability may change based on panel capacity.


Medicare Information

Lifesong Health is currently enrolled with Medicare; however, the practice does not routinely accept Medicare patients. Medicare patients are not scheduled through online booking unless explicitly approved in advance.


How Payment Is Collected

  • A credit or debit card on file is required to reserve all appointments

  • No charges are processed at the time of booking

  • Self-pay fees are charged on the day of service (or shortly thereafter)

  • Sentara copays/coinsurance are collected at the visit or billed per plan

  • Alma / Headway / Grow Therapy patients submit payment through their respective platforms


Self-Pay Fees

  • New Patient Intake (75 minutes): $360

  • Standard Follow-Up (25 minutes): $180

If a visit exceeds the scheduled time, the fee increases to the next service level.
Additional services may be available by prior approval.


Booking & Appointment Guidelines

New Patients

  • Self-Pay:
    Select Self Pay – New Patient – Telehealth

  • Sentara Health Plan (Commercial):
    Select Sentara Health Plan – New Patient – Telehealth

  • Alma / Headway / Grow Therapy (if available):
    Select the appropriate Intake – Telehealth option and complete all required platform forms

After booking:

  1. Add a card on file (no charge until the visit)

  2. Choose your appointment time (telehealth; limited in-person availability—contact the office if needed)

  3. Complete intake forms in the Optimantra Patient Portal within 24 hours

  4. Email [email protected] with:

    • A copy of your driver’s license

    • A copy of your insurance card (if applicable)

Appointment requests are reviewed and confirmed after intake completion.


Established Patients

  • Self-Pay: Select Self Pay – Follow-Up – Telehealth (25 minutes)

  • Sentara Health Plan: Select Sentara Health Plan – Follow-Up – Telehealth

  • Alma / Headway / Grow Therapy: Select the appropriate Follow-Up – Telehealth option

  • Hello Hope Legacy Patients: Select the legacy follow-up option (active membership required)

Alternate visit types require prior approval and are scheduled internally.


Cancellation, Late Arrival & No-Show Policy

Appointment times are reserved exclusively for you. Late cancellations and no-shows limit access for other patients and disrupt care continuity.

Cancellation Windows

  • Intake visits, extended visits (≥30 minutes), and in-person visits:
    Must be cancelled at least 48 hours in advance

  • Standard telehealth visits (25 minutes) or shorter:
    Must be cancelled at least 24 hours in advance

Cancellations may be made through the patient portal up to 48 hours in advance.
For late cancellations, please notify the office via Spruce message, text, or email.


Late Cancellation & No-Show Fees

  • $75 — appointments 30 minutes or less

  • $175 — appointments 30 minutes or longer

Late Arrivals

  • Arrivals more than 10 minutes late are treated as late cancellations

  • The appointment will be cancelled, the applicable fee charged, and the visit must be rebooked

If you experience technical difficulty joining a telehealth visit, please call or text (434) 260-3380 before your late window for assistance.


Important Notes

  • Late cancellation and no-show fees are not billable to insurance

  • Fees are charged to the card on file

  • Repeated late cancellations or no-shows may result in dismissal from the practice


Patient Portal & Secure Messaging

Patients use the Optimantra Patient Portal to:

  • Complete intake and consent forms

  • Update demographics, insurance, and payment information

  • Schedule, cancel, or reschedule appointments

  • View statements, receipts, and invoices

  • Send secure clinical messages

For HIPAA-compliant messaging outside the portal, patients may use Spruce Messaging (free). Please ask us if you'd like to set this up. We may send an invite. 


In-Person Visits

Limited in-person availability is offered in Forest, Virginia by appointment only.

Only Select if you are a Legacy Hello Hope patient transferred to Lifesong Health with an active recurring monthly membership plan. 
This is the first consultation. Please note that online requests are not confirmed until reviewed and approved by provider/ staff. Note that you must complete all forms for Alma and Lifesong Health via Optimantra. Insurance will be processed via Alma. You must list your primary insurance (commercial) to Alma. If it is not accepted by Alma, you notified, and will be converted to cash pay unless you choose to cancel the appointment. Charges will be paid directly to Alma for visits, based on your insurance details. 
-For those with active Sentara Health Plan (commercial plan)
- For brief med check in ( ie, monthly visits for 1 problem only, such as 1 condition and 1 medication check in)
-You will pay your copay/ coinsurance at time of visit based on your contractual amount (ie, you may pay at time of visit or get a bill later for the cost of the visit). 
Insurance will be processed via third party Grow Therapy
***Standard Follow Up option- 
  • Copays, coinsurance, and fees are billed directly by Alma/Headway according to your insurance plan.
  • Please do not book this option unless you are already established through Headway. Ask provider if questions.
